What's inside

The eight columns that make a requirement traceable

A requirement is traceable when anyone can see where it came from, what delivers it, how it was tested and who signed it off.

1
Requirement ID
A unique, stable number for each requirement. Every other document, test and change request refers to it, so it never gets renumbered.
2
Source
Where the requirement comes from: the RFP clause, contract section, regulation or stakeholder request. It settles disputes about why something is in scope.
3
Description and priority
The requirement in one testable sentence, marked mandatory or desirable. Vague wording here turns into arguments at acceptance.
4
Design and build reference
The design element, feature, work package or proposal section that delivers the requirement. Gaps show as empty cells before anything is built.
5
Test case
The test that proves the requirement is met, with its ID and expected result. A requirement without a test cannot be signed off.
6
Status
Where each requirement stands: not started, in progress, tested, accepted or changed. Filter the column and you have a progress report.
7
Owner
The person responsible for delivering each requirement, on your side or the client's. Nothing is left to whoever notices it first.
8
Change history
Each change to a requirement, with the date, the reason and the approved change request. Scope changes stay visible instead of silent.

Why this template

Every requirement accounted for

Most traceability templates are a bare spreadsheet with column headers. This one explains what goes in each column and why it matters at acceptance.

Built backward from sign-off

The matrix is organized around what the client checks at acceptance: each requirement, its test and its result. Sign-off becomes a filter, not a meeting.

Works for bids and delivery

The same IDs carry from the RFP to your response, the contract and the delivered system, so a promise made in the proposal can be traced to what was built.

Gaps show up early

Empty design or test cells stand out on day one. Missing work is found during planning, not in the last week before go-live.

FAQ

Questions about this template

Is the requirements traceability matrix template free?

Yes. Download it as it is, in Word or PDF, without an account. You only create one when you want Cobl to rewrite it with your own requirements and your branding.

What should a requirements traceability matrix include?

A unique ID for each requirement, its source, a testable description and priority, the design or build element that delivers it, the test case that proves it, its status, an owner and a change history. The test and status columns are what turn the matrix into an acceptance checklist.

How is a compliance matrix different from a requirements traceability matrix?

A requirements traceability matrix tracks requirements through a project or product lifecycle, from specification to test case, and is a systems engineering artifact. A compliance matrix tracks requirements through a single bid, from solicitation to submitted response. The columns look similar, the lifecycle and the audience do not.

Can Cobl build a requirements matrix from the RFP documents?

Yes. Cobl reads the whole set of documents and lists what the buyer asks for, so nothing is left without an answer.

Can I change the sections?

Yes. Add, remove or reorder anything. A template is a starting structure, not a locked form. Cobl remembers what you changed and applies it to the next document of the same type.
