RFP response template

The order evaluators actually read in: what you comply with, what you understood, how you will do it, who does it, and what it costs. Start from the structure, add your context, and Cobl turns it into your response.

What's inside

The eight sections evaluators score

Plus the compliance matrix that decides whether the rest of your response is even read.

1
Compliance matrix
Every requirement of the brief, line by line, with where you answer it. It is the first thing procurement checks and the fastest way to be eliminated.
2
Executive summary
One page, written last. What the buyer is trying to solve, what you propose, and the one reason to pick you rather than the incumbent.
3
Understanding of the need
Their context in their words, pulled from the brief and the site visit. It is what separates a real response from a catalogue.
4
Proposed solution
What you deliver, inside the scope of the brief. Options and variants are kept separate so the buyer can compare like for like.
5
Method and planning
Phases, deliverables, milestones and the RACI, dated against the buyer's own timeline rather than a generic Gantt chart.
6
Team and CVs
Who works on it, how much of their time the project gets, and CVs in the exact format the buyer imposed.
7
References
Three comparable projects with size, scope and a contactable name. Chosen to match the buyer's sector, not to show your biggest logos.
8
Pricing and commercial terms
The price schedule in the buyer's own grid, plus assumptions, exclusions and the validity period.

2
Add your context

Nothing to prepare. Cobl asks you the right questions and pulls your company knowledge: your CRM, your tools, your past work and your branding.

3
Get the best of both

Cobl assembles the two. The rigour of the template, with your content and your branding. So, what comes out is client-ready.

Why this template

Built to be scored, not admired

An RFP response is read by an evaluation grid before it is read by a human. This one is laid out for that.

It answers in their order

Buyers score section by section. Reordering the response to suit your story costs points. This template follows the brief and puts your differentiation inside each answer instead.

Nothing is left implicit

Assumptions, exclusions, variants and dependencies each have their place. Most disqualifications come from what was not written, not from what was.

It survives four contributors

Pre-sales, architecture, legal and finance each own their section, and the document still reads in one voice at the end.

FAQ

Questions about this template

What format do I get?

This one is built as an A4 document and exports to PDF, Word or Google Docs. A slides version of the same document is in the library too, if your buyers read decks rather than files.

Can I use my own branding?

That is the point. Give Cobl your website and it reads your colours, your typography and your tone, then applies them to every page. Upload a past document and it locks onto your real design system.

How long does it take to adapt it to a real deal?

A first complete draft takes a couple of minutes. Teams report roughly 3h30 saved per proposal once their content library is connected.

Can I change the sections?

Yes. Add, remove or reorder anything. A template is a starting structure, not a locked form. Cobl remembers what you changed and applies it to the next document of the same type.

What is an RFP vs a proposal?

The RFP is the buyer's document: it describes the need and asks for responses. The proposal is the vendor's document: it answers the RFP with a specific approach and price. In short, an RFP is a request, and a proposal is the reply.
