The B2B sales and proposal glossary

Every deal runs on its own vocabulary. This glossary defines the terms behind RFPs, proposals, and modern sales workflows, in plain language, for the teams who live them.

Win rate is the percentage of deals a team closes out of those it actively pursues, calculated as deals won divided by total deals in a period. It is a core measure of sales effectiveness and, indirectly, of proposal quality.

Why it matters in B2B sales

Small win-rate gains compound: moving from 20% to 25% is a 25% increase in revenue from the same pipeline. Because the proposal is often the last and most scrutinized touch before a decision, its clarity and relevance are among the biggest levers on win rate.

The link between proposal quality and closing is explicit in the data on what actually closes deals. Unlike top-of-funnel volume, win rate improves with quality, not just quantity, which makes it one of the most efficient metrics to work on.

How to calculate win rate

The basic formula is deals won divided by total deals decided in a period (won plus lost). Teams refine it by segmenting: win rate by stage, by rep, by segment, or by lead source. Stage-level win rate is especially useful, because it shows where deals leak, a low proposal-stage win rate points at the proposal itself, while a low top-of-funnel rate points at targeting or qualification.

What drives win rate

Win rate reflects the whole system: how well you target your ideal customer profile, how rigorously you qualify, how well you run discovery, and how strong your proposals are. Of these, proposal quality is often the most improvable at scale, because it can be standardized across the team rather than depending on each rep's individual skill.

A concrete example

A team tracking win rate by stage finds deals that reach the proposal stage close only 30% of the time, well below benchmark. Digging in, they see proposals are generic and slow, so they standardize and speed them up, and the stage conversion, and overall win rate, climbs.

How it shows up in a modern proposal workflow

Raising win rate often means raising proposal quality across the whole team, not just the top reps. Cobl generates consistently strong, tailored proposals for everyone, lifting the floor and feeding a healthier sales pipeline.

That "raise the floor" effect is what makes proposal automation a win-rate play: instead of hoping every rep writes like your best one, every proposal starts from the same high standard, so more late-stage deals convert.
